In this privacy policy, we describe how mSystems ApS (hereinafter “mSystems,” “we,” “us,” or “our”) processes personal data in connection with the provision of RentLog to our business partners.

RentLog is a digital management tool that our business partners, such as workshops and dealers in the automotive industry, can use to manage and administer their loaner and rental cars as well as demo cars.

mSystems as Data Processor
As the provider of RentLog, mSystems is subject to the instructions of our business partners to deliver and support RentLog. Our business partners are therefore data controllers for the processing of your personal data in RentLog. mSystems acts as a data processor and only processes your personal data in RentLog on behalf of our business partners and therefore does not further process it for our own purposes.

If you are a customer of one of our business partners using RentLog and have questions about our business partner’s processing of your personal data in RentLog, we kindly ask you to contact the business partner.

mSystems as Data Controller
mSystems is the data controller for the processing of personal data that you leave or provide when you visit our website and use the various services and functions that we offer on the website or when you are in direct contact with mSystems.

1. Collection of Personal Data
RentLog
When our business partners use RentLog, the following types of personal data may be collected and processed by the business partner:

  • Personal data that will appear on a photo of your driver’s license, including name, date of birth, place of birth, information about your driver’s license, CPR number, driver’s license number, signature, and portrait photo
  • Address
  • Phone number
  • Email address
  • Company name (if applicable)
  • CVR number (if applicable)
  • Information about the rental agreement, including rental period, etc.

If you provide personal data about others when using RentLog, we encourage you to first obtain consent from these individuals to provide the information.

mSystems only processes this personal data according to instructions from our business partners.

mSystems (including www.msystems.dk) When you visit mSystems’ website or contact mSystems, we process, in some cases, personal data about you. For example, we need your contact information to be able to respond to an inquiry from you. Note that certain personal data is necessary to collect for you to use the website’s features.

We typically collect the following types of personal data about you:

  • Name
  • Email address
  • Phone number

If you provide personal data about others, we encourage you to first obtain consent from these individuals to provide the information.

2. Use of Personal Data, Purposes, and Legal Basis
We collect and process your personal data in connection with the functions and purposes described below.

We may also process your personal data for other purposes if we are entitled or obligated to do so under the law.

RentLog Our business partners collect and process your personal data for the management and administration of their loaner and rental cars as well as demo cars in RentLog.

As a starting point, RentLog is configured to store your rental agreement for 5 years from the ongoing accounting year to which the rental agreement relates, due to our business partner’s obligations under the Danish Bookkeeping Act § 10.

Images of your driver’s license are stored as a starting point for 2 months in RentLog from the termination of the lease agreement/demo drive, after which they are deleted.

As a data processor, mSystems has no influence on how our business partners process your personal data, for what purposes, and on what legal basis.

If you want to know more about our business partners’ processing of your personal data, their purposes, and legal basis, we kindly ask you to contact the business partner.

mSystems (including www.msystems.dk) When you are in contact with mSystems, for example, via the website, we will process the personal data about you that is necessary for us to handle this contact. As a starting point, we only process the personal data that you provide yourself. If we need to receive specific personal data, we will clearly inform you. Our legal basis is either the conclusion or fulfillment of an agreement in which you are a party, your consent, or our legitimate interests.

3. Consent
When you use our website or are in direct contact with us, we collect and process your personal data based on your consent, as described in section 2 above.

Please note that you can always withdraw your consent. This can be done by contacting us (see contact details in section 8 below).

If you withdraw your consent, we will stop processing your personal data unless we are entitled or obligated to continue the processing or storage of your personal data on another basis, including under the law.

Withdrawal of your consent does not affect the lawfulness of the processing that has taken place before the withdrawal of the consent.

If you withdraw your consent, you may not be able to fully use the features that we offer on our website.

4. Security
All personal data and data at mSystems, including in RentLog, are stored in compliance with appropriate technical and organizational security measures. Thus, we do our best to ensure the quality and integrity of your personal data.

When you, as a customer, for example, provide your personal data to our business partner, the transmission of data between the business partner and our RentLog hosting provider takes place encrypted.

5. Your Rights
You have the right to access the personal data that we process about you, with certain exceptions as provided by law.

In addition, you may object to our collection and further processing of your personal data. Furthermore, you have the right to rectification of your personal data or to request us to restrict the processing of your personal data.

If you request it, we will delete the personal data that we have registered about you without undue delay, unless we can continue the processing on another basis, including if the processing is necessary to establish a legal claim or if it is necessary to respond to an inquiry from you.

Under certain circumstances, you have the right to receive the information that we have registered about you in a structured, commonly used, and machine-readable format and request us to transmit this information to another data controller. If you wish to exercise your rights as described above, please feel free to contact us (see contact details in section 8 below).

However, please note that we are only a data processor on behalf of our business partners for the personal data processed in RentLog. If your request concerns personal data processed in RentLog, we are therefore obligated to forward your request for response to our business partner, who is the data controller. We naturally assist our business partner in fulfilling your request.

In connection with inquiries regarding your rights, we ask you to provide us with sufficient information so that we can process your inquiry, including your full name and your email address, so that we can identify you and respond to your request. We will respond to your inquiry as soon as possible and no later than within one month.

If you disagree with the way we process your personal data or the purposes for which we process the information, you are welcome to contact us. Alternatively, you can file a complaint with:

6. Links to Other Websites, etc.
Our website may contain links or references to other websites. We are not responsible for the content of other websites (third-party websites) or for the procedures that such third parties have for the collection and processing of personal data. When you visit a third-party website, you should always read the website owner’s privacy policy and other relevant policies.

7. Changes to the Privacy Policy
We reserve the right to change this privacy policy due to significant changes in the law, new technical solutions, or in the event of new or improved features in RentLog or on our website.
